How to Track Job Applications

A tracker should answer two questions quickly: what did you send, and what needs attention next? You can begin with a small spreadsheet or the application history in a job-search product.

Record the essentials

For each role, save employer, title, location, source link, application date, status, and the resume version you used. Add the recruiter's name only if you have it. Keep notes brief enough that you will maintain them.

Separate actions from outcomes

Submitted, follow-up planned, interview scheduled, rejected, and closed mean different things. A clear next-action field is often more useful than many status labels.

Review once a week

Close out stale entries, check outstanding follow-ups, and look for patterns by role or resume version. Avoid recording sensitive employer messages or personal details in a shared spreadsheet.
